Billing and finance operations
Invoice drafts from approved time and WIP, payment matching, collections follow-up and month-end exception reports. A person approves before anything is sent or posted.
AI implementation services
AI implementation means putting AI to work inside a real business process: connected to your systems, checked by your people and owned by someone after launch. Fixed Labs does this for established businesses doing $5M+ in revenue. We find the workflows worth automating, build them in the software you already run, set the approval points and keep them running. A first workflow usually reaches production in three to six weeks.

From a CPA firm engagement
For one accounting firm we spent two weeks with the invoicing team, wrote down its billing rules and exceptions, and put invoice preparation on a supervised AI workflow. Across the next three observed weeks it completed 513 invoices at about six minutes each, against the team’s estimate of 15 minutes by hand. Staff still approved every invoice before it went out.
Read how the billing workflow was scopedWe start where the hours are: recurring work that moves documents, data or money between people and systems.

Lead response, intake questions, document collection and onboarding steps that create the records, assign owners and chase what is missing.
A weekly operating brief pulled from several systems, board and investor update drafts, and KPI refreshes without copy and paste.
The re-keying between email, spreadsheets and systems that were never integrated: data entry, filing, status updates and reminders.
Account research, CRM updates, proposal drafts and follow-ups, so leads do not stall between meetings.
When the work is broad enough, an AI agent takes a defined job with its own instructions, approvals and an owner on your team.
Four things, and a project that skips one of them usually stalls. First, a written definition of the work: the inputs, the rules, the exceptions and what counts as done. Second, the build: the workflow or agent connected to the systems where the work lives, with the approval points agreed before launch. Third, a supervised start on live work, so the exceptions surface while a person still checks every output. Fourth, an owner after launch, who monitors every run and updates the workflow when your software or rules change.
Fixed Labs does all four. Most of the effort sits in the first and the last, which is why a project that is only a build tends to look good in a demo and drift within a quarter.
Start where three things meet: the work repeats every week, its rules are written down or easy to write down, and its hours are easy to count. Billing preparation, payment matching, intake and document collection, recurring reports and the re-keying between systems usually qualify. Work that depends on judgment, relationships or a rule nobody has agreed on should wait.
We rank every candidate by hours spent, how settled the rules are and what an error would cost, then start with one to three workflows rather than a program.
The causes are ordinary: nobody owns the workflow on the client side, system access arrives weeks late, the rules live in one manager’s head, or nobody measured the work before the build, so nobody can say whether it improved. We name a process owner before building, request access during discovery, write the rules down with your team and take a baseline before launch, so the monthly review compares real numbers.
A first workflow usually reaches production in three to six weeks. A typical sequence:
Week 1
Discovery call and assessment: we map the candidate workflows, take a baseline and agree what correct work looks like.
Weeks 2–4
Build and test: the first workflow is built in your systems and tested on real cases with the people who do the work today.
Weeks 4–6
Supervised production: it runs on live work while your team approves the outputs and we fix what the exceptions show.
Every month after
Run and improve: monitoring, fixes, updates when your software changes, and a results review with you.
The Fixed Labs Method
A discovery call, then an assessment of the candidate workflows: volume, systems, rules, who approves what and what each one costs you today.
We build the first one to three workflows in your systems, test them on real cases with your team and agree on what counts as correct work.
We monitor every run, fix failures, keep integrations current as your software changes and report results each month.
When the work grows, we add a fractional AI team or technical staff so the roadmap keeps moving without a hiring project.
All three can work. They differ in who decides what to automate and who keeps it running.
| Fixed Labs | AI software vendor | Hiring in-house | |
|---|---|---|---|
| Who decides what to automate | We rank your workflows by value and effort | You do, within the product’s features | Your new hire, once onboarded |
| Systems covered | The systems you already run, including ones without integrations | The vendor’s platform and its connectors | Whatever the hire can build and maintain |
| Time to a first result | 3–6 weeks for the first workflow | Quick to start, slower to fit your process | Recruiting first, then building |
| After launch | We run, fix and improve it monthly | Your team maintains the setup | One person owns everything |
| Cost shape | Fixed build fee + monthly run fee | Per-seat or usage subscription | Salary, benefits and tools |
Fixed Labs quotes a fixed build fee for each workflow after discovery, plus a monthly fee to run, monitor and improve it. The price depends on how many systems are involved, how settled your rules are and how much human review the work needs. You see the full price before any build starts, and most clients begin with one to three workflows.
A first workflow usually reaches production in three to six weeks: discovery first, then two to three weeks of building and testing on real cases, then supervised live use. Missing system access and messy source data are what make it longer, and we flag both during discovery.
No. We build around the systems you already use, such as Microsoft 365 or Google Workspace, your ERP or practice-management system, your CRM and the portals your team logs into. Where a system has no integration, we automate the steps your staff take in it today.
Your people do, wherever it matters. Before launch we agree which steps run on their own and which need a named person’s approval: anything that reaches a client, moves money or changes an important record. Every run leaves a record your team can review.
We keep running it. We monitor the workflow, fix failures, update it when your software or rules change and review the results with you every month. Clients usually add the next workflow once the first one has held up through normal and exception cases.
AI consulting decides what to do; AI implementation puts it into production. Fixed Labs does both, and every engagement is scoped to end in something running in your business, not a slide deck.
Each workflow gets only the access it needs, through accounts your IT team controls, and we document what it can read and change. We walk your IT lead or provider through the design during discovery, and any specific data terms go into the agreement.
In a 30-minute discovery call we learn how the work runs today, tell you whether AI can take it on and what it would take to get it into production.
