AI implementation by industry
Fixed Labs builds and runs AI for established businesses doing $5M+ in revenue. We go deepest in accounting, tax and advisory firms, where most of our work is. In every industry the pattern is the same: find the recurring work that eats hours, build it into the systems the team already uses, and keep a person on every decision that matters.
AI for accounting firms
CPA Firms
Hours leak into work nobody can bill. Staff re-key time and engagement terms to build invoices by hand. Unbilled WIP ages while partners are busy with client work. Payments arrive without remittance detail and sit unapplied. Preparers chase the same missing documents again and again. Each gap lowers realization, slows cash collection and keeps good staff on clerical work.

Private Equity
The same manual work repeats in every portfolio company. Finance teams build board and lender packages by hand, so reporting slips. Receivables get chased by email when someone has time. Each add-on brings new systems, and staff re-key its data by hand. Every company buys its own AI tools, so nothing learned at one company helps the next.

Home Services
The leak sits between the truck and the office. Jobs close without complete notes, so invoices wait and cash comes in late. Estimates go out and nobody follows up. Missed calls in peak season become jobs for a competitor. Warranty and commercial balances age in receivables. After each acquisition, staff re-key customers and pricing into a new system.

Personal Injury Firms
Profit leaks in two places. At intake, leads wait for a callback and unsigned retainers go cold. In pre-litigation, case managers spend their days requesting records and bills, checking on treatment and assembling demand packages by hand. Every month a file waits pushes the fee further out.

Insurance Agencies
Account managers spend their days on service work that does not grow the book. Certificate requests interrupt every hour. Renewal prep starts late, so submissions go to market late and quotes come back close to expiration. Issued policies wait weeks to be checked against what was bound. Re-keying applications into carrier portals eats the rest of the day.

Med Spa Groups
Paid leads go cold while front desks juggle check-ins and calls. Consults get booked without deposits, then no-show. Memberships lapse when a card fails and nobody follows up. Location reports take days to build by hand. After every acquisition, staff re-key clients and memberships into a new platform.

The systems change from industry to industry; the sequence does not. A first workflow usually reaches production in three to six weeks.
Week 1
Discovery call and assessment: the workflows with the most hours, the systems they touch and a baseline.
Weeks 2–4
The first workflow built in your industry’s systems and tested on real cases with your team.
Weeks 4–6
Supervised production: live work, with your people approving anything that reaches a client or moves money.
Every month after
Monitoring, fixes and a results review, then the next workflow on the list.
Questions about AI by industry
Which industries does Fixed Labs work with?
Most of our work is with accounting, tax and advisory firms. We also work with private-equity portfolio companies, home and field services, personal injury law firms, insurance agencies and multi-location med spa groups, as well as logistics, hospitality and other operations-heavy businesses.
Do you work with our industry’s software?
We build inside the systems each industry already runs: CCH Axcess, Karbon and QuickBooks Online for accounting firms, ServiceTitan and Housecall Pro for home services, Filevine and Litify for personal injury firms, Applied Epic and AMS360 for insurance agencies, and Zenoti or Boulevard for med spas. Where a system has no integration, we automate the steps your staff take in it today.
Which workflow should we automate first?
The one that repeats every week, follows rules you can write down and costs hours you can count. In accounting firms that is usually invoice preparation or WIP follow-up; in insurance agencies, certificate requests; in home services, intake and invoicing. Each industry page lists the usual first workflows.
How long does a first workflow take?
A first workflow usually reaches production in three to six weeks in every industry we serve. Access to your systems and how settled your rules are set the pace, and we plan go-live around your busy season, not in the middle of it.
Who on our team needs to be involved?
Three people: an executive sponsor who can decide, the person who owns the workflow day to day and can show us what correct work looks like, and your IT lead or provider, who reviews what each workflow can access. The rest of the team joins for testing before launch.
Can one AI program cover several portfolio companies or locations?
Yes. For private-equity portfolios and multi-location groups we build a workflow once, prove it in one company or location, then roll it out to the others with each one’s own systems, approvals and reporting, so the operating partner sees results side by side.
What if our industry is not on the list?
The method is the same: find the recurring work that eats hours, build it into your systems and keep a person on every decision that matters. Book a discovery call and we will tell you honestly whether AI fits your work.
Not on the list?
We also work with logistics, hospitality and other operations-heavy companies. The method is the same.
