Executive Assistant

Fixed Labs is hiring an Executive Assistant for a highly organized remote support role. This person will help client leadership stay ahead of calendars, email, appointments, meetings, reports, travel, SOPs, and follow-up items across personal and business priorities.

What you will do

  • Manage calendars, appointments, meeting scheduling, reminders, and day-to-day executive coordination.
  • Organize email, draft responses, prioritize follow-ups, and make sure important tasks do not fall through the cracks.
  • Prepare reports, meeting notes, task lists, SOP updates, and recurring administrative documents.
  • Coordinate travel, reservations, vendor follow-up, personal errands, and executive support requests as needed.
  • Track open tasks across teams and follow up with the right people until work is closed out.
  • Protect executive time by creating clear systems for priorities, deadlines, documents, and communication.

What we are looking for

  • Experience as an executive assistant, personal assistant, operations assistant, chief-of-staff support, or senior administrative coordinator.
  • Excellent spoken and written English with calm, professional communication.
  • Strong calendar, inbox, documentation, and follow-up habits.
  • High discretion when handling sensitive business, personal, financial, or operational information.
  • Ability to anticipate needs, organize ambiguity, and keep multiple workstreams moving at once.
  • Comfort with Google Workspace, Microsoft Office, task trackers, spreadsheets, and common communication tools.

Job conditions

  • Remote (Latin America-based).
  • Compensation: salary paid in USD.
  • English level: advanced.
  • Full-time, Contractor.
  • Schedule: 8:00 AM to 5:00 PM, Monday through Friday.
  • Work hours require reliable overlap with U.S. business hours.
